AI Receptionist for HVAC and Plumbing Companies: Catch the Call While You're Under the House (2026)

What Does an AI Receptionist for HVAC and Plumbing Companies Actually Do?

An AI receptionist answers the business line while you and your techs are on a job, in a crawl space, or driving between calls. It tells the caller what you fix and where you work, takes the address and the problem, and books a visit window. Then it sends you a summary right away; a price or a warranty dispute goes to a person.

Aibrify Desk is one of these. It answers in English, Mandarin and Spanish, and it costs $179 a month with 400 minutes included.

This guide covers what a missed call costs a trade company and what the AI receptionist handles on its own. It also shows how to connect it to the number already printed on your truck.

The reader we have in mind runs a one-truck to ten-truck shop. The phone lives in a pocket, and the pocket is often under a sink or on a roof. That is the problem a receptionist of any kind solves, and the AI version is the first one priced for a shop this size.

How Much Is a Missed Call Worth to an HVAC or Plumbing Company?

A missed call is worth the job behind it, and the job is rarely small. Thumbtack's price data (as of October 2026) puts a typical central AC repair at $431 and an emergency plumbing visit at $377. A water heater replacement runs $1,193 on the same data.

Repair tickets are rising too. Housecall Pro's own platform data shows average HVAC repair revenue per job rose from $818 in 2021 to $1,205 in 2025.

Not every caller books, so the value of one call is a share of one job. Invoca's 2026 home services report is built on 70 million tracked calls. It found that 38% of answered calls are leads and that 45% of those leads convert on the call.

Our arithmetic from those two rates: about 17 of every 100 answered calls become a job. At a $1,205 ticket, an answered call is worth roughly $200.

The caller with a real emergency does not wait for a callback. A 2025 HomeServe survey of 2,524 Americans found that more than 8 in 10 had a home repair emergency in the past year. Heating and cooling led at 30%, and clogged toilets followed at 26%.

CallRail's 2025 benchmark, as reported by Plumber Magazine, says up to 85% of callers whose call goes unanswered will not call back. They call the next listing instead.

Why Do HVAC and Plumbing Companies Miss So Many Calls?

They miss calls because the person who would answer is the person doing the work. Invoca's 2026 report found that only 52% of inbound home services calls were answered by a person, with sub-industries ranging from 32% to 74%. Owners also overestimate their own pickup rate: in a Service Direct study, companies guessed 97% and actually answered 66%.

Not every measurement is that bleak. CallRail's 2025 benchmark put the home services missed call rate at 14%, roughly one call in seven. The two measure different things, a person reached versus a call never picked up, but both say the phone rings more than it gets answered.

Peak season is when the phone and the truck are both full

Samsara analyzed 65 million HVAC service trips across the United States from September 2023 to June 2025. July through October is the busy season. October, not July, is the busiest month across trips, drive time and miles per vehicle, and September shows a consistent dip.

Heat waves bend the curve hard. In the June 2025 heat wave, Maine's trips per vehicle jumped 374% over the prior June. That is the week the phone rings nonstop and nobody in the shop can pick it up.

The base is wide. The EIA's 2020 Residential Energy Consumption Survey found 88% of US households use air conditioning, 93% in the South and 92% in the Midwest. And the workload per shop is growing: Housecall Pro reports repairs per organization rose from 103 in 2022 to more than 170 in 2025.

The three calls a trade company misses most often:

  • The 7 a.m. no-heat call that comes in while the truck is being loaded.
  • The 2 p.m. call that rings while a tech is under a house with both hands busy.
  • The 8 p.m. call that lands after the phone is on the charger and the day is done.

An AI receptionist exists for exactly these three. It does not replace the office manager who runs dispatch; it covers the hours and the minutes when no one can reach the phone.

What Does the AI Receptionist Answer, and What Does It Pass to You?

It answers the questions a dispatcher answers from memory, and it passes the ones that need your judgment. The owner decides the split by listing "topics Desk won't answer" (prices, complaints, refunds, legal questions), and those go to a person every time. Everything else is answered from the material the owner provides.

Two details matter for a trade shop. First, every call opens with a disclosure that the caller is talking to AI and that the words are transcribed. No audio is kept, which keeps the transcript honest and the storage simple.

Second, when it is unsure, it has two moves. It can transfer the call to the owner's phone, or take the details and notify the owner right away. You choose which move applies to which situation.

What Does a Sample Call Sound Like?

A good sample call is short, takes the right details, and ends with the caller knowing what happens next. Here is one for a two-truck HVAC shop in a July heat wave. The owner is on a roof.

Desk: Thanks for calling Ramirez Heating and Air. You're speaking with an AI assistant, and this conversation is transcribed. How can I help?

Caller: My AC quit about an hour ago. It's blowing but it's not cold. It's 98 degrees out here.

Desk: I'm sorry, that's a bad day for it. Can I get the address so I can check we cover your area?

Caller: 4120 Elm Street, in Whittier.

Desk: Whittier is in our service area. Is the outdoor unit running, or is it silent?

Caller: It's running, there's just warm air inside.

Desk: Got it. The soonest window today is 4 to 6 p.m. Does that work, and what is the best number to reach you?

Caller: Yes. The number I'm calling from.

Desk: I've booked 4 to 6 p.m. and noted the number you're calling from. A technician will be told right away. Is there a gate code or a dog we should know about?

Caller: No gate. Big friendly dog.

Desk: Noted. The technician will call ahead when on the way. Anything else?

Caller: How much is this going to cost?

Desk: I can't quote prices, but the owner will call you back with that before the visit. Thanks for calling.

Three things happened. The caller was qualified by address, and the visit was booked. The one question the AI receptionist should not answer, the price, was passed to the owner with a promise of a callback.

Within a minute, the owner gets the summary by email or Slack. It arrives in Chinese or English, with the address, the symptom, the window and the dog.

What About Spanish-Speaking Callers and Crews?

Spanish is the second phone language of the trades, on both ends of the line. The Census Bureau counts about 44.9 million people who speak Spanish at home, one in seven residents age 5 and up, as of 2024. Among residents who speak a language other than English at home, 61.1% speak Spanish.

Only 58.3% of working-age Spanish speakers report speaking English "very well," per the same Census release. That figure matters on a service call. About four in ten would rather explain a leaking water heater in Spanish, and some hang up when answered in English only.

The crews are bilingual too. BLS household survey data for 2025 shows 30.3% of plumbers, pipefitters and steamfitters and 26.7% of HVAC mechanics and installers are Hispanic or Latino. Across all of construction the share is 35.4%.

A tech who takes a forwarded call in Spanish is common; a receptionist who can is rarer. Aibrify Desk answers in Spanish when the caller speaks Spanish, and in Mandarin when the caller speaks Mandarin. See the Spanish page and the guide on language detection during a call.

The owner's summary arrives in Chinese or English regardless of the call language. For Chinese-owned trade companies in Los Angeles and the San Gabriel Valley, there is a separate guide on the bilingual Chinese AI receptionist. Cantonese is not supported.

What Does It Cost Compared With One Lost Job?

Aibrify Desk is $179 a month with 400 minutes included, $0.30 for each extra minute, setup included, month to month with no contract. That is $2,148 a year. At four minutes a call, the included minutes cover about 100 calls a month.

OptionMonthlyYearlyNotes
Aibrify AI receptionist$179$2,148400 minutes, then $0.30 a minute
In-house receptionist, wages only$3,168$38,010BLS median, May 2025, before taxes and benefits
One water heater replacement, caught$1,193pays for 6.7 months of the plan
One average HVAC repair job, caught$1,205pays for 6.7 months of the plan
One central AC repair, caught$431pays for 2.4 months of the plan

The arithmetic is simple. One extra water heater job a year, booked because someone answered, pays for seven months. Two AC repairs a quarter pay for the whole year.

A full-time receptionist at the BLS median of $38,010 costs nearly 18 times the plan before benefits. And that person still goes home at five.

How Do You Set It Up With Call Forwarding?

Setup is a short list of decisions, and the main one is which phone forwards. Your business keeps its number: the caller dials the number on your truck, and your carrier forwards the call to Desk. The summary comes back to you in Chinese or English, and nothing on your van, your Google listing or your invoices changes.

  • Write down what Desk may say. Service area by city or zip code, what you fix and what you don't, hours, and emergency policy. Add the visit windows you offer and anything a caller should do while waiting. Then list the topics it must pass: prices, warranty claims, complaints.
  • Pick the forwarding rule. Office line: forward on no answer after a few rings, or forward every call when the office is closed. From a tech's cell, use conditional forwarding so the call goes to Desk only when the tech is busy or does not pick up.
  • Decide what reaches you live. Urgent calls can transfer straight to your cell. Everything else becomes a summary by email or Slack, with the address and the symptom in the first line.
  • Call it yourself. Call the demo line on desk.aibrify.com first. Then call your own number from another phone and run the no-cold-air script above.
  • Read the first week of summaries. Add the questions callers actually asked to the material. Move any topic that came out wrong to the "won't answer" list.

Forwarding from a tech's cell is the setup most one-truck shops want. The tech still gets the call when a hand is free, and Desk gets it when both hands are not.

Weekly summaries arrive on Monday and a monthly report at the end of the month. They show which days and hours the calls came in, so you can check whether the windows you offer match them.

Details for the trade, including a worked example of the material, are on the HVAC and plumbing page. Pricing is on the main Aibrify Desk page.

Frequently Asked Questions

Does an AI receptionist for HVAC companies work after hours?

Yes. An AI receptionist answers the forwarded line at any hour, including nights and weekends when nobody at a trade company is near the phone. Aibrify Desk takes the address, problem and urgency, books a window, sends a summary right away, and can transfer urgent calls to the owner's cell.

Can the AI receptionist give quotes or prices?

No, not unless the owner wants it to. Prices, quotes and warranty questions sit on the list of topics the AI receptionist passes to a person. Aibrify Desk tells the caller the owner will call back with pricing, puts the request in the summary, and notifies the owner right away.

What happens with a no-heat call at 2 a.m.?

The AI receptionist answers, confirms the address is in the service area, records the symptom and the urgency, and follows the owner's rule for emergencies. That rule can be a live transfer to the on-call tech's phone, or a booked morning window plus an immediate notification. Either way the caller hears a plan instead of voicemail.

Do I have to change my phone number?

No. The business keeps its number: the owner sets up call forwarding at the carrier, on no answer or for all calls, and Aibrify Desk answers. Callers still dial the number on the truck, and a technician's cell can forward to Desk too when the tech is busy.

Does it speak Spanish? What about Cantonese?

Aibrify Desk speaks English, Mandarin and Spanish, and answers in the language the caller uses, so a Spanish-speaking homeowner is served in Spanish. Spanish matters in the trades: about 44.9 million US residents speak Spanish at home, and 30.3% of plumbers are Hispanic or Latino (BLS, 2025). Cantonese is not supported.

How much does an AI receptionist cost for a plumbing company?

Aibrify Desk costs $179 a month with 400 minutes included, $0.30 for each extra minute, setup included, month to month with no contract. One caught water heater replacement at Thumbtack's typical $1,193 pays for 6.7 months. A full-time receptionist at the BLS median of $38,010 a year costs about $3,168 a month in wages alone.

Can I forward calls only from a tech's cell phone?

Yes. Conditional forwarding on a mobile phone sends calls to Aibrify Desk only when the phone is busy, unanswered or off. The technician still picks up when free, and the AI receptionist takes the call when the tech is under a house or on a roof.

How do I know what was said on each call?

Every call is transcribed, and no audio is kept. After each call the owner gets a summary by email or Slack, in Chinese or English, with the caller's number, address, problem and booked window. A weekly summary arrives on Monday and a monthly report at month end, and text alerts start once carrier texting registration is approved.
